HawaiiPay Enrollment

Hello Everyone,

I just finished watching the training video for our new Payroll System.

Here's a PDF of the notes that I took from the training.

But Here's a cliff notes version:

  • New enrollment window: 12/3 (Mon 7:45a) - 12/14 (Fri 5p)

    • If you want direct deposit, you have to enroll into the new system

    • First paycheck under HawaiiPay 1/4/19

    • Late Nov. HIP letters will be going out

      • Each employee will receive a user ID & password letter following the W-2 process for document distribution; each employee needs to sign to confirm they've received their letter and login info

      • Login letters to be sent to DOE schools/offices shortly before "go-live" date of 12/3

    • Failure to enroll during window will result in employee receiving a paper paycheck


Things to have before enrollment

  • Need to access info on a DOE Network computer (Faculty Network)

  • Contact financial institution(s) to:

    • Get bank/credit unions 9-digit routing number

    • Get their account number (Please ask and don't assume)

    • Verify if account type is "Checking" or "Savings"


At the time of enrollment

  • Users will log in with temporary password from hard copy letter

    • Set a new complex 10-character-minimum password (Do not save passwords)

    • Password valid for 90 days;

    • Password history: 5 passwords remembered (6th password can reuse 1st password)

      • HIP Service Center handles password resets (not IT Help Desk)

      • After 5 wrong passwords; account will be locked; Need to call HIP to reset

    • Password must include one upper case AND one lowercase letter, one number and a special character such as: an @, #, %

Please look out for an email on when and where we will be assisting faculty members on transitioning to the new payroll system. We will send out more information closer to the enrollment date of 12/3 (Monday).
