Feel free to disseminate to your schools as needed.

Hi All,

DOE employees with access to Lotus Notes can access Supt approved use of County Facilities Requests lists.
Access the C&C Use of Facilities Database within Lotus Notes
Click on the icon in the left window pane to reveal all approved lists to date similar to this.
There are new lists posted recently for all Counties.

(See attached file: CnC UoF r3.1 Maui 3-19-18 signed.pdf)(See attached file: CnC UoF r3.3 Maui 4-4-19 signed.pdf)

I'm compiling the summer 2019 requests as scheduled for Supt's office.

**Courtesy info regarding requests that don't meet deadlines next school year:
The C&C database will be able to begin receiving next school year through summer 2020's requests shortly. A electronic memo will formally announce this. Moving into next school year, we'll need to carefully create use of C&C facility requests on time to the very best of our abilities. Be sure to double check request dates, times, facilities, and all other important data to assure requests aren't delayed. There have been a handful of requests created after deadlines over the past couple of years that are making even the most vaild exceptions increasingly difficult to attain permissions upon.

We're working out a plan of action where the school designee inquires of the CAS and cc CAS secretary where special permissions may be necessary on an activity. I understand that there are variables associated with requests initiated after deadlines. Rather than compiling post-deadline requests, I'll need to report correspondence on CAS approved activities to our Secretary so she can forward the information to Supt's office. That way the proper authority can make a decision on whether the request will be reviewed for late requests

I kindly ask that we try our best to create use of County facilities requests on time. I apologize for the inconvenience as indemnity requests go through several offices for review. I have the ability to report the requests but our office does not have authority to approve them.

Sincerely,

Rich Kiyabu
